How the apartment search works

What actually happens on the Berlin housing market, what the service does for you, and what only you can do.

The starting point

There are far more people looking than apartments available. A single listing from a municipal company draws several hundred applications, most of them within the first few hours.

So it is rarely the nicest application that wins. It is the early one that also fits the formal criteria: income, household size, WBS.

From listing to keys

  1. The listing appears on the company's website.
  2. The application — a form with your details is submitted.
  3. Email confirmation (double opt-in). Without clicking that link, many companies do not count the application at all.
  4. Waiting. A rejection often never arrives — silence is the most common answer, and it is not a malfunction.
  5. Viewing invitation (Besichtigung), often a group slot with many applicants at once.
  6. Questionnaire and documents (Selbstauskunft) — proof is asked for at this stage, not when applying.
  7. Approval, contract, handover, along with the deposit and the Wohnungsgeberbestätigung you need to register your address.

Documents worth having ready

Whoever starts collecting them after the invitation loses the apartment to someone who already had them.

  • SCHUFA-BonitätsAuskunft — the version meant for landlords
  • Proof of income — usually the last three payslips
  • Passport or ID card
  • Confirmation of no rent debt from your previous landlord (Mietschuldenfreiheitsbescheinigung)
  • WBS, if you have one

WBS — the social housing certificate

A large share of the affordable stock is subsidised and cannot be rented without a WBS. The district office issues it if your income is below a threshold; Berlin has levels 100, 140, 160 and 180.

Brandenburg has its own rules and its own WBS — a Berlin certificate does not apply there. That is why the profile records them separately.

What the rent really costs

As a rule of thumb, landlords expect a net income of about three times the cold rent.

  • Kaltmiete — the number in the listing, excluding utilities.
  • Nebenkosten — heating, water, waste, building services.
  • Warmmiete — what actually leaves your account.
  • Kaution — a deposit of up to three cold rents (§ 551 BGB).
  • Cooperative shares — required on top by cooperatives, often a four-figure sum, but refunded when you move out.

What the service does for you

Coverage is Berlin with all twelve districts and, in Brandenburg, these companies: WOBRA, GuWo Guben, WBG Brandenburg, WOWI Frankfurt (Oder), WOBAG Schwedt, WoGe Finsterwalde. That is the list of working application forms, not the list of towns you could move to.

Companies where the application cannot go through cleanly (captcha, mandatory manual registration) are not shown as available in the first place.

  • Watches the companies' listings around the clock, nights and weekends included.
  • Fills in the form with your profile data and sends the application in your name.
  • Clicks the confirmation links in the emails — without them the application is worthless.
  • Creates the portal account where a company requires one (HOWOGE, for example).
  • Answers the questionnaires some companies email afterwards.
  • Whether a listing requires a WBS often cannot be read from its text. If it is not stated legibly, the application is sent and the company decides on eligibility.
  • If a listing is marked as subsidised but the required WBS level cannot be read, the service does not apply blindly.
  • Keeps the whole correspondence under «Messages» and reports invitations to a viewing.

What the service does not do

This list matters just as much as the previous one.

  • It does not guarantee an apartment. Nobody can.
  • It does not attend viewings and does not sign contracts.
  • It does not book your viewing slot — the invitation comes to you and you pick the time.
  • It does not send your SCHUFA or payslips; the company asks you for those later, directly.
  • It does not bypass captchas or break into portals.
  • It does not invent answers. What is not in your profile cannot be in the form.

What depends on you

This is the biggest lever — bigger than anything technology can do.

  • A complete, honest profile. No income stated, application filtered out.
  • A filter that is not too narrow. A price far below the market or a single district leaves almost nothing — «Status» shows you exactly what the listings fail on.
  • A fast reply. Answer an invitation the same day; viewing slots are limited.
  • Documents ready and brought along to the viewing.

How long it takes

Count in weeks and months, not days. Weeks without an answer are normal and do not mean something is broken.

Under «Status» you can see at any time how many applications went out and were confirmed, and why listings were filtered out. If something genuinely stops working, support will contact you.
